Simultaneously, uploading the legacy data in to SAP was looked into. The first step in this direction was to collect and consolidate the existing data in Excel Format from physical file format for uploading the same in SAP System. There were about 11000 files in Marketing Department and about 100 projects with various number of activities in the Engineering department then in operation. The collection of this voluminous data in SAP Format was a mammoth task because the data was scattered in CIDCO Bhavan and Raigad Bhavan for Marketing and all over Navi Mumbai from Airoli Node to Dronagiri Node for Engineering Department.
Initially, the project implementation started slow due to the challenges faced in Change Management of CIDCO since it is a Government organisation, it was difficult to adopt the ERP culture, However strong support and commitment coming from CIDCO’s top management and IT department later it took off smooth and finally the SD module went live on December 16, 2003, followed by FI/CO, PS, MM and QM modules to go- live by January 1, 2004 and thereafter the Core Team has not looked back. Today, we have come to the stage where we can process the various activities of Marrketing Department from tendering to Execution of Agreement through SAP as,
1. Demand Registrations for Upcoming Housing Schemes are Enrolled into the system.
2. Prospective Customers can be enrolled and list can be derived.
3. List of vacant properties are retrieved on real time basis.
4. In case of Tender plots all offers received against individual property are entered into the system and comparative statements and reports are processed.
5. Receipt of E.M.D. , Booking of property and issue of allotment letters.
6. Receipt of subsequent installments/Miscellaneous charges.
7. Letters for Corrigendum in Area/Rate (if any) are processed and subsequent payments received.
8. DPC for the specific property is exercised.
9. Payment verification is performed through the system.
10. Agreement and handing over note can be processed and printed through sap.
11. Various reports related to Marketing/Accounts can be retrieved.
Similarly, following processes for undertaking the project by Engineering Department can be transacted through SAP
1. Creation of Master data for Vendors/Services/Material.
2. Creation of project.
3. Cost planning. (Estimation)
4. Budget with reference to administratively approved amount.
5. Project approval and release
6. Project scheduling/Monitoring.
7. Vendor payment.
8. Technical closure.
9. Project closure.
Thus the System is smoothly working and is in operation for transacting these processes.
1. Connectivity to other offices
As on the date, SAP accessibility is available in CIDCO Bhavan, Raidgad Bhavan and at Nirmal (Mumbai). SAP connectivity will be extended to other Site officesl. This will not only improve the efficiency of the User but also reporting can be retrieved on real time basis from any of the offices.
2. Exclusive Training Room
Since the SAP system is a continuous process of learning, it is necessary to provide the end users the training and updating them from time to time. Therefore an exclusive IT training room, equipped with required infrastructure for conducting the lab classroom training as well facilitating self learning by for the usesr is established on the Sixth floor adjacent to SEZ section.
